With current revenues of ~US$50 million (long-term contracts secured), we aim to scale to US$500 million over the next 5 years. We are expanding our client base (domestic & global airports and related adjacencies) and enhancing our portfolio: managed services, new digital services/products, airport services platforms, etc.

Role Overview

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support one of our CXOs based at the Bangalore office. This role will combine Executive Assistance, Project Management Office (PMO) coordination, and administrative facilitation responsibilities.

The ideal candidate will play a key role in ensuring smooth executive operations, tracking strategic initiatives, and coordinating with cross-functional teams for project execution and office management.

Key Responsibilities

  1. Executive Support
  • Manage the CXO’s calendar, meetings, and daily schedule
  • Coordinate internal and external meetings and prepare meeting agendas
  • Capture Minutes of Meeting (MoM) and track action items
  • Handle confidential documents, reports, and communication with discretion
  • Coordinate travel arrangements, itineraries, and expense management
  • Act as a liaison between the CXO and internal/external stakeholders
  • Assist in preparing presentations, reports, and executive communication
  1. PMO Coordination & Project Tracking
  • Support the CXO in tracking strategic initiatives and key business projects
  • Maintain project trackers, dashboards, and progress reports
  • Coordinate with cross-functional teams for project updates and status reports
  • Track deadlines, milestones, and action items from leadership meetings
  • Assist in preparation of project review decks, business updates, and management reports
  • Support planning and coordination of monthly and quarterly review meetings
  • Maintain documentation and repository for project-related information
  • Flag delays, risks, or gaps in project progress and ensure timely follow-ups
  1. Administration & Office Facilitation (Bangalore Office)
  • Support day-to-day administrative coordination for the Bangalore office
  • Coordinate with vendors and facility teams for office operations
  • Manage meeting room logistics and visitor coordination
  • Assist in organizing leadership visits, internal meetings, and office events
  • Maintain office records, documentation, and coordination with corporate teams
  • Work closely with HR, IT, and Finance teams for smooth office operations

Qualifications & Experience

  • Bachelor’s degree in any discipline
  • 5–8 years of experience in Executive Assistant, PMO coordination, or executive support roles
  • Prior experience supporting senior leadership / CXO-level executives preferred
  • Experience in project tracking, reporting, or cross-functional coordination will be an advantage
